PRACTICE POLICIES
At Beyond Limits Mental Health & Wellness, we are committed to helping you prioritize your mental health and achieve your goals. Part of this commitment includes maintaining consistent attendance for your scheduled appointments, which are essential to your progress. Your session time is reserved exclusively for you, and honoring this time reflects the mutual respect we have for your journey and for the therapist’s dedication to your care.
Effective January 1,2025, the cancellation and rescheduling policy has been updated as follows:
48-Hour Notice Requirement
We require at least 48 hours’ notice if you need to cancel or reschedule your appointment. This allows us to offer the time to another client who may need support.
Late Cancellation/No-Show Fee
Appointments canceled or rescheduled with less than 48 hours’ notice will incur a $100 flat fee. No show appointments will also incur a $100 flat fee.
Commitment to Your Mental Health
Your mental health is a priority, and attending scheduled appointments is a critical part of your commitment to yourself. Inconsistent attendance can disrupt your progress and diminish the impact of your therapeutic work. By honoring your appointments, you’re investing in your well-being and showing respect for the time and effort set aside for your care.
Respect for Time
Each appointment is carefully scheduled to ensure you receive the attention and care you deserve. Late cancellations or missed sessions not only impact your progress but also the therapist’s ability to provide care to others. Respecting this time demonstrates our shared value of integrity in the therapeutic relationship.
A 10 minute grace period is allowed if you are late. Sessions will not occur if you are more than 10 minutes late. Being more than 10 minutes late is treated as a no show/late cancellation and the late fee will apply.
A $25.00 service charge will be charged for any checks returned for any reason for special handling.

An active credit/debit card must be always kept on file
The active credit/debit card on file will be used to make payments on all outstanding balances and late fees.
Insurance benefits are verified only at the start of services with Beyond Limits Mental Health & Wellness. Because insurance coverage, eligibility, and benefits may change at any time, it is the client’s responsibility to notify the practice immediately of any changes to their insurance coverage. This includes, but is not limited to, obtaining a new insurance plan, changing employers, changes during open enrollment, policy renewals, or any other change that may affect insurance benefits or coverage.
Failure to provide updated insurance information in a timely manner may result in delays in claims processing or claim denials.
Clients are ultimately responsible for payment of services rendered. If an insurance claim is denied for any reason, and the insurance company does not issue payment, the client is financially responsible for any outstanding balance for services provided. This includes claim denials resulting from changes in insurance coverage, inactive or terminated policies, failure to provide updated insurance information, or any other circumstance that prevents the insurance company from paying the claim.
Any unpaid balance resulting from a denied claim will become the client’s responsibility and will be billed in accordance with the practice’s financial policies.
Clients utilizing Employee Assistance Program (EAP) benefits are permitted to use one (1) EAP authorization per episode of care at Beyond Limits Mental Health & Wellness, LLC.
EAP authorizations are intended to provide short-term, solution-focused services and may not be stacked, renewed, or combined with additional EAP authorizations at this practice.
Once an EAP authorization has been fully utilized or expires, clients may continue services using commercial insurance, self-pay, or other accepted payment options, if clinically appropriate and available.
Clients are responsible for notifying the practice of their EAP authorization status at the start of services.
This policy is in place to ensure ethical billing practices, clarity of care, and compliance with payer guidelines.
If you need to contact me between sessions, please leave a message on my voice mail. I am often not immediately available; however, I will attempt to return your call within 24 hours. Please note that Face-to-face sessions are highly preferable to phone sessions. However, in the event that you are out of town, sick or need additional support, phone sessions are available. If a true emergency situation arises, please call 911 or any local emergency room.
Due to the importance of your confidentiality and the importance of minimizing dual relationships, I do not accept friend or contact requests from current or former clients on any social networking site (Facebook, LinkedIn, etc). I believe that adding clients as friends or contacts on these sites can compromise your confidentiality and our respective privacy. It may also blur the boundaries of our therapeutic relationship. If you have questions about this, please bring them up when we meet and we can talk more about it.
I cannot ensure the confidentiality of any form of communication through electronic media, including text messages. If you prefer to communicate via email or text messaging for issues regarding scheduling or cancellations, I will do so. While I try to return messages in a timely manner, I cannot guarantee immediate response and request that you do not use these methods of communication to discuss therapeutic content and/or request assistance for emergencies.
If you are a minor, your parents may be legally entitled to some information about your therapy. I will discuss with you and your parents what information is appropriate for them to receive and which issues are more appropriately kept confidential.
Ending relationships can be difficult. Therefore, it is important to have a termination process in order to achieve some closure. The appropriate length of the termination depends on the length and intensity of the treatment. I may terminate treatment after appropriate discussion with you and a termination process if I determine that the psychotherapy is not being effectively used or if you are in default on payment. I will not terminate the therapeutic relationship without first discussing and exploring the reasons and purpose of terminating. If therapy is terminated for any reason or you request another therapist, I will provide you with a list of qualified psychotherapists to treat you. You may also choose someone on your own or from another referral source.
Should you fail to schedule or attend an appointment for two consecutive appointments, unless other arrangements have been made in advance, for legal and ethical reasons, I must consider the professional relationship discontinued. Communication is very important to our therapeutic relationship, if you know you need to miss multiple sessions for reasons such as vacations or business travel, please give me advance notice. I understand that unexpected events in life happens, if unexpected events require you to miss sessions please communicate that to me as soon as possible.
Excessive cancellations and rescheduling of appointments is grounds for termination.
